Acad Scheduling & Space Mgt (AS&SM): Spring 2026 Class Schedule Action Steps & Reminders

As we complete the final academic schedule updates for Spring 2026, your department schedulers and chairs/directors should:

  1. Review the following two Spring 2026 Audit Finding Sheets as of Jan 27, 2026:
    Spring 2026 – Enrolled classes without Instructors
    Spring 2026 – Zero enrolled Classes in ULR
     
  2. Submit final Cancel / Change Spring 2026 class sections. While the best practices deadline was 1/8/25, which was two weeks before the semester started to avoid negative student impacts, we know there may be final urgent issues to address. The deadline for these is no later than 2/11/26 so that they can be completed by the Enrollment Census Date (2/18/26).

  3. If a class section runs out of permission numbers, email registrar@sjsu.edu for more codes. Permission numbers for newly added sections are generated only overnight.

  4. Update instructors directly into MySJSU until the Enrollment Census Date, 2/18/26. Access to add instructors closes the following day, and OnBase forms will be required. 
    • If you have a new instructor(s) who needs to be added to your department, please email the main Academic Scheduling mailbox (academicscheduling@sjsu.edu)
    • To avoid data integrity issues, if you are changing or deleting an instructor, you first need to delete the instructor row, save and, as applicable, then add the new instructor.
    • Submit OnBase Change Forms (Regular Session/Self-Support) if you want to add “observers”, who can review the roster and input grades.
