A message from Finance AVP Marna Genes:
I am pleased to announce Jane Zacchia has filled the Director of Accounting Services position effective July 16th. Jane started with SJSU in April as the Assistant Director of Accounting Services. Soon thereafter, the Director position was vacated and she emerged as the strongest candidate. Jane has an MBA, a master’s in taxation, and she is a licensed CPA. SJSU will benefit from her broad CSU experience, which includes positions at Monterey Bay, Fullerton and Cal Maritime.
Please join me in welcoming Jane to the Finance Team. I would also like to thank Trang To for her wonderful help and support over the past several months.
To employees responsible for budget and financial management functions, fiscal year 2017-18 is now closed in CFS (Common Financial System). The Finance Data Warehouse may be utilized to report on the full year of 2017-18 fiscal activity. All future transactions and budget transfers should be directed to the open fiscal year, 2018-19.
Fund balances on the actuals ledger will be available at the fund level by July 23. Please note that for a specific listing of funds, CERF Funds (48xxx), Miscellaneous Trust (65183), and Auxiliary (78005 and 78006) Funds, fund balance will be posted at the division or department level.
Budget will be allocated to support the encumbrances that were outstanding on June 30, 2018 in funds 70000 (CSU Operating); and SSETF funds (70018, 70019, and 70020). These entries will be completed by July 24. The Office of Budget Planning & Financial Management will consult with division budget officers in the event that closing encumbrance balances exceeded departments’ balances available.
The annual review and reconciliation between position listing reports and salary budgets for CSU Operating fund 70000 is currently underway. Once finalized, 2018-19 salary budgets for CSU Operating fund 70000 will revert to the Centralized Compensation Pool and budget will be allocated to departments each month to match payroll expenditures, similar to the monthly benefits budget allocation. A separate announcement will be shared as the budgets revert to the Centralized Compensation Pool.

Finance Open Labs have been scheduled for August to November 2018.
Open labs are informal sessions where qualified personnel are available to assist department users who have access to the finance applications: CFS, FTS, Finance Data Warehouse, and Campus Marketplace. Come to an open lab for help on a number of topics:
- Understanding procurement and finance policies and guidelines
- Entering Requisitions or Travel Authorizations/Reimbursements in FTS
- Ordering from Campus Marketplace and Staples Advantage
- Running or reviewing Finance Data Warehouse reports
- Managing PO encumbrances
- Completing a PO Change Order Request
- Recording receipts and inspections
- Reviewing PO/requisition information in CFS
- Checking the payment status for a PO invoice, Direct Payment or Reimbursement
Unless noted, labs are scheduled for Fridays from 9:00 a.m. to 12:00 p.m. in Clark Hall 505 on each of the days listed below. Be sure to bring your login information with you. Please refer back to this announcement for schedule changes.
