The New Technology Experience For Faculty Fall 2015

SJSU’s location in the heart of Silicon Valley gives our institution an edge in the technology marketplace, as we routinely supply high-technology firms in the area with more engineering, computer science, and business graduates than any other college or university. It’s not surprising, then, to see SJSU embrace educational methods that exploit the latest technology to dramatically enhance the university experience.

The mission of IT Services is to support student success through the innovative use of technology in the classroom and across campus, while supporting automation of SJSU’s administrative functions. We promote “unbounded learning” to enhance student success through continuous learning innovations. We do this by providing agility through an advanced technology infrastructure. Faculty and students will benefit greatly from numerous improvements and advancements that have been made since Spring of this year.

In The Classroom

  • WebEx online collaboration to connect swiftly and securely with students, teachers, colleagues
  • TelePresence available for all Faculty, Staff, Students via WebEx Enabled TelePresence (bridge) and via High Def equipment in some classrooms and conference rooms
  • Next Generation Spaces update – 7 fully integrated learning spaces; 7 fully integrated learning spaces coming in the next year; 6 meeting spaces
  • 30 mobile TelePresence units; 10 available now; others arrive by end of Oct.
  • Updated classroom phones installed
  • Wi-Fi in all classrooms, campus buildings and student residences
    • Nearly 67,000 unique devices connected, 14,500 wireless devices connected
    • Students reporting seeing internet speeds over 100 MBPS

On Campus

  • 4,000 new phones deployed
  • Workstation/computer refresh – Over 3,000 Lab, Faculty, and Staff Computers Replaced

The earlier you understand collaboration and working in collaborative, interdisciplinary environments, the more successful you will be when you enter the workplace. Collaboration as a form of virtual communications is a cornerstone of educational transformation: students collaborating with faculty members, and with outside experts, and collaboration between students within your schools and campus and across traditional educational boundaries.

TelePresence – Think video conferencing on steroids. The TelePresence experience allows you to expand the learning environment by conducting live, lifelike meetings without traditional classroom constraints.

San José State has purchased iLink for WebEx, a Chrome extension that will make it easier for you to schedule meetings, classes and events in WebEx.

iLink for WebEx is a Chrome browser extension that makes it easy to book WebEx meetings right from your Google Calendar. With Esna iLink for WebEx you can:

  • Schedule WebEx meetings just like any other calendar event
  • Eliminate the need to book meetings on the main WebEx site
  • Update WebEx automatically any time you change your meeting in Google Calendar

WebEx Available to All Students, Faculty and Staff

New WebEx BallFree WebEx Service

WebEx service is available free for all SJSU students, faculty and staff. SJSU WebEx can be used to host online meetings and interactive sessions with individuals inside and outside of San José State. The collaborative meeting service within SJSU WebEx can be used to enhance academic class activity including lecture capture for later review and interaction with remote students and/or guest lecturers.

What can you do with WebEx?

  • Meet and interact with anyone, anywhere, anytime.
  • Collaborate real time by sharing applications, presentations, documents and your PC desktop.
  • Bring together people without travel time and expense.
  • Work with teams from different places all over the world – all that is needed is internet access.
  • View meeting participants in high-quality video.

Getting Started

world mapKeeping Long Distance Free Using WebEx

Did you know that you can use WebEx to make free long distance phone calls? When you use it a specific way, it’s easy to do.

WebEx supports different ways to participate in the audio portion of a meeting or a lecture. Traditional teleconferencing uses phones that dial into a conference bridge, connecting all the callers together. This is a simple, reliable way to run an audio conference, and WebEx provides this service. On the upside, everyone knows how to use a phone; on the downside, SJSU pays for the phone call to use the phone dial-in feature of WebEx. However, if you use the VoIP feature, SJSU does not pay for the call.

Computer internet audio conferencing uses microphones, headsets and speakers connected to your computer. WebEx calls this VoIP, which is an acronym for Voice over Internet Provider. VoIP for WebEx is essentially computer internet audio conferencing. This may be a bit tricky to set up on your computer the first time, but using VoIP time doesn’t cost the university, or you, anything.

There are two meeting types in WebEx, VoIP and phone dial in. By picking your meeting type, you can control what kind of audio conferences are available to your participants. The meeting type can be set when you schedule a WebEx meeting.

MC Pro+VoIP meetings offer only computer internet audio conferencing (free). Think of it as using the internet which we’re already paying for. This meeting type is available to employees and students with WebEx host accounts. This is the only meeting type available to student accounts.

WebEx Pro1000 meetings provide both phone dial-in teleconferencing and computer Internet audio conferencing. The phone dial-in teleconferencing meeting type is available to faculty and staff only. Computer Internet audio conferencing is available to faculty, staff and students.

Setting your default in WebEx will help keep your preferred settings, and this function can be found in your WebEx preferences page. Simply go to the WebEx meeting panel and edit your default meeting settings. That way you can be sure that you automatically get the meeting type that you prefer most often.

The WebEx user interface has been improved with a new modern look and feel designed to improve the ease of use throughout meetings. Some key functions have been simplified to provide quicker access to the most relevant functionality. One of the key changes in the interface is geared to simplify the user experience!

Introducing a Cleaner, Faster Experience to Join Meetings

This new Meeting Center version significantly improves the time it takes for users to join a meeting. Users should now be able to join WebEx meetings up to 30% faster (dependent on computer speed and bandwidth). In addition, the Join experience has been streamlined and the connecting pop up windows have been removed.

WebEx Improvements

Meeting Center:

This modern, simplified user interface includes:

  • A new WebEx Ball icon
  • New icons, fonts and colors
  • The Welcome tab has been simplified and renamed to Home
  • Improved experience to join meetings for return users
  • A global header and left navigation for all WebEx Centers
  • New Audio Dialog as well as updated Sharing and Invite & Remind dialogs
  • Desktop and application sharing is displayed within the tab for attendees
  • New liquid layout, allowing you to change the proportion of video and content up to a 50:50 ratio
  • Fields on the meeting info tab can be copied
  • Chat and Notes panels are minimized by default and show as icons on top

Event Center:

Updates specific to the Event Center user interface include:

  • Q & A colors
  • Updated practice sessions with a highlighted yellow box
  • Updated audio broadcast dialog

WebEx Usability Enhancements

Meeting Center:

  • An option to turn on/off the entry/exit audio tone within a meeting
  • The ability to allow a Host to leave a meeting without ending it, with automatic transfer of the Host role
  • The presenter role automatically passes to the Host if the first attendee has become presenter, and is not sharing content

All WebEx Centers:

When sharing content during a meeting, screen savers will be disabled

WebEx Accessibility Compliance

Meeting Center pages have been redesigned with a new simple and modern user interface with improved Section 508 accessibility compliance. All functionality and design interaction remains the same.
